Terms and Conditions
The following terms and conditions apply to all clients.
Payments
We may ask for full payment or a deposit at the time of booking an appointment to secure your booking.
Punctuality and Late Arrivals
Please arrive on time for your appointment. If you are more than 10 minutes late, your consultation/treatment may be cut short, but you will still be charged the full price. If it is not possible to shorten the consultation/treatment, you will be asked to rearrange your appointment and you will lose the amount paid.
No-Shows
If you do not show up to your appointment, you will lose the amount paid. Full payment will be required upon your next booking. Please note, all no-shows will be recorded.
Cancellations
If you want to cancel your appointment, this must be done at least 48 hours before your appointment, or you will lose the amount paid. If you cancel before the 48 hours and would like a refund, please contact our Centre, as this is not done automatically and we will need to process the payment. Alternatively, we can retain the amount you have paid and apply it to your next booking.
Rearranging Appointments
If you wish to rearrange your appointment, this must be done at least 48 hours before the appointment time. If rearrangement is necessary, please provide as much notice as possible to minimise disruption.
Right to Refuse Service

After booking, you will be asked to complete and sign a questionnaire prior to your consultation/treatment.

In the interest of your comfort, please refrain from talking on a mobile phone and ensure it is switched off, or on silent, for the full duration of your time at our Centre.

Appointment confirmations, reminders, administrative messages and other communications necessary for managing a service are not treated as marketing communications merely because they are sent by email, telephone or WhatsApp.
You can opt out of marketing communications at any time.
4. Our lawful bases for processing personal information
We use the lawful basis that applies to the particular purpose for which personal information is processed.
Contract and steps before entering into a contract
We may process personal information where this is necessary to arrange, manage and provide a service that you have requested, or to take steps at your request before providing that service.

Legal obligation
We may process personal information where this is necessary to comply with a legal or regulatory obligation.
Consent
Where we rely on consent, we will request it in a clear and specific manner.
You have the right to withdraw consent at any time. Withdrawing consent does not affect the lawfulness of processing carried out before consent was withdrawn.
Consent may be used, for example, for certain non-essential cookies, direct marketing where required, and the processing of health information where explicit consent is required.
5. Health and special-category information
Some of the services provided through Lemon Well Med require us to collect information concerning your health or other information that may constitute special-category personal data under the UK GDPR.
This may be necessary to assess eligibility, identify contraindications, prepare for a service, provide the service safely and maintain appropriate client records.
Where we process health information on the basis of explicit consent, we will obtain that consent separately and clearly from the general information contained in this Privacy Policy.
You may withdraw explicit consent at any time. However, if the information is necessary to determine whether a service is safe or appropriate for you, withdrawing consent may mean that we cannot provide that service.
We limit access to health information to authorised persons who need it for legitimate purposes and apply appropriate technical and organisational measures to protect it.
We do not sell health information or use it for unrelated marketing purposes.
6. Appointment booking, CRM and communication systems
We use Zoho Bookings to manage appointments made through the Lemon Wellness website.
The information provided when making an appointment, including your name, telephone number, email address and appointment details, is processed through Zoho Bookings for the purpose of arranging and managing your appointment and related communications.
We also use Zoho CRM to manage customer and business contact information and, where applicable, marketing communications.
We may use email, telephone and WhatsApp to communicate with you about your appointment or the services you have requested.
Where third-party communication services are used, those providers may process personal information in accordance with their own privacy policies and applicable data protection arrangements.
We do not use the standard website booking process to collect health information unless a specific form or questionnaire expressly requests such information.
7. Cloud storage
We use Box as a cloud-based storage platform for certain business and client records.
Depending on the nature of the record, information stored through Box may include personal information and information relating to services provided to clients.
We take appropriate measures to protect information stored through Box and restrict access to authorised persons who need access for legitimate business purposes.
Where a third-party cloud storage provider processes personal information on our behalf, we require appropriate contractual and data protection arrangements where applicable.

Wegamed and other equipment manufacturers
Where a service uses a Wegamed device or other equipment, the manufacturer or equipment provider does not automatically receive the personal information collected by Lemon Well Med.
Where a manufacturer or equipment provider does not receive or process your personal information on our behalf, it is not treated as a recipient or processor of your personal information under this Privacy Policy.
9. Where your information is stored and international transfers
We use cloud-based services to store and process personal information, including Zoho and Box.
Depending on the service, configuration and circumstances, personal information may be stored or processed in the United Kingdom, the European Economic Area (EEA) or other countries.
Zoho provides its relevant European services through its European data-centre environment. Certain limited support or technical activities may involve authorised personnel located outside the EEA.
Box and other technology providers may also process information internationally.
Where personal information is transferred outside the UK in circumstances that constitute a restricted transfer under UK data protection law, we will ensure that an appropriate lawful transfer mechanism and safeguards are in place, such as UK adequacy regulations, appropriate contractual safeguards, the UK International Data Transfer Agreement or Addendum, applicable Binding Corporate Rules, or another lawful mechanism recognised under UK data protection law.
10. How long we keep your information
We retain personal information only for as long as necessary for the purposes for which it was collected, including where necessary to meet legal, accounting, regulatory and legitimate business requirements.
Different categories of information may be retained for different periods depending on:
- the nature of the information;
- the purpose for which it was collected;
- the nature of the service provided;
- our legal and regulatory obligations;
- the need to maintain appropriate client records; and
- the need to establish, exercise or defend legal claims.
Our retention periods are reviewed periodically.
When personal information is no longer required, we will take reasonable steps to securely delete or anonymise it unless there is a lawful reason for retaining it for longer.
Cookie-related information may have different retention periods depending on the type of cookie or technology involved.

Right to data portability – In certain circumstances, you can ask us to provide your personal information in a structured, commonly used and machine-readable format, or ask us to transfer it to another organisation.
Right to withdraw consent – Where we rely on consent, you can withdraw your consent at any time.
You will not normally have to pay a fee to exercise your data protection rights.
We may need to verify your identity before responding to a request.
To exercise any of these rights, please contact us using the details provided at the beginning of this Privacy Policy.
We will normally respond to a valid request within one month, although this period may be extended where permitted by law for complex or multiple requests.
13. Direct marketing
If you receive direct marketing communications from Lemon Wellness or Lemon Well Med, you can opt out at any time.
Marketing emails will include an appropriate unsubscribe option. Where marketing is sent by another electronic communication method, we will provide an appropriate and straightforward way to opt out.
Where we rely on consent for direct marketing, you can withdraw that consent at any time.
Where we rely on the applicable soft opt-in rules for similar products or services, you can opt out of those marketing communications at the time your contact details are collected and in every subsequent marketing communication.
Booking an appointment does not automatically mean that you have consented to receive marketing communications where consent is required.
Administrative communications relating to an appointment or service, such as booking confirmations, reminders or necessary service information, are separate from direct marketing.
14. If you do not provide requested information
Some information is necessary for us to arrange and provide our services safely and appropriately.
Where we need particular information to assess eligibility, contraindications or suitability for a service, you may not be able to proceed with the appointment if you do not provide the requested information.
Where this applies, we will explain why the information is necessary and, where appropriate, what may happen if it is not provided.
You should provide accurate and complete information when completing a pre-consultation questionnaire or providing health information relevant to a service.
15. Automated decision-making
We do not use your personal information to make decisions about you based solely on automated processing, including profiling, that produce legal or similarly significant effects.

We take reasonable technical and organisational measures to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.
Access to personal information is limited to people who need it for legitimate business purposes or to provide services on our behalf.
